There was a requirement for a secure system of registration where new shipping providers could fill in onboarding forms and necessary documentation. Access credentials were automatically given to approved vendors once they had been vetted internally.
Workflow Automation for Onboarding and Access Provisioning
The client also alluded to the necessity of getting rid of the manual methods of approving vendors and issuing and updating login credentials, seeking a smooth, low-touch workflow to enhance scalability.





Fragmented Vendor Management System

High Salesforce License Costs

Complicated Vendor Onboarding Process
The onboarding process of new shipping vendors had several tedious manual processes, submittal of various documents via email, and manual exchange of credentials, which proved the process inefficient and prone to errors.






Custom Shipping Vendor Portal
The Salesforce Experience Cloud site was set up to be a dedicated shipping vendor portal. Specifically designed Lightning Web Components (LWC) enabled vendors to see shipping requests, take quotations, and even file booking paperwork within the platform.
Bid Approval and Notification Automation
The automated approval process was provided based on Salesforce Flows and Apex logic, which allowed sending instant notification emails as soon as the bid was approved. Custom approval processes made sure that any work only proceeded to further processing that had been validated, so there were no bottlenecks in communication.
Dynamic Vendor Registration Form
The Experience Cloud site was constructed in such a manner that external vendors can also fill out an LWC-based registration form and provide verification information. Access credentials could be issued automatically with a certain degree of access level, and once approved, the approved vendors have access to their dashboard without any problem.
One-click Credential Sharing
A Lightning Screen Flow was implemented to automate and ease the process of the vendor onboarding lifecycle. By clicking a button, the approved vendors got their logins, which allowed speeding up the process of signing their vendors with no need to involve internal teams in a manual process.

The shipping portal has enabled the client to shift the existing vendor interaction model that was fragmented and based on manual interaction to a fully autonomous and digital world. Using Salesforce Experience Cloud and integrating it with Lightning Web Components, Apex, and Salesforce Flows, a simplified portal was developed where vendors would place bids, documents, and approvals all on the same platform.
Automated registration and credential provisioning allowed minimizing administrative work and accelerated the speed of the interaction with vendors.
