A Custom LWC Portal for Extending the Standard CPQ Limit

Highlights
Removal of Unwanted CPQ Functionalities
Salesforce CPQ came with capabilities that had nothing to do with the client’s business model. A less detailed chain was needed to focus on only the main steps of planning, pricing, and quotations. Making things simpler for organized work practices and removing users’ confusion.
Minimizing Salesforce CPQ Licensing Costs
It was expensive to buy a license for Salesforce CPQ, mostly because a lot of the tools were not being used. The client wished for a portal that dealt with different types of quotations and could be scaled without licensing each person using CPQ.
Essential-Only Data Handling Objects
Because the client aimed to simplify and maintain the system more easily, they requested that Salesforce be used only for managing vendors, products, pricing, quotes, and approvals and not include default CPQ data models.

Overburdened Standard CPQ Environment
Since some of the Salesforce CPQ modules did not fit the client’s workflow, internal sales users had to be trained more, and the system needed a lot of adjustments.

Unjustified CPQ Licensing Expenditure
Using Salesforce CPQ was costing more than the use we made of it. Because they needed quotes only from one user at a time, it was difficult for the client to validate the high cost of licenses for multiple users.

Disjointed Quotation Workflow
Quotation processes were handled by various people, and there was not a single interface for sending them. Errors could happen more easily, and the process for making quotations could be slow due to having to do things by hand.

Missing Business-Specific Margin Rules
The client wanted margin changes to drive approval workflows, which could not be easily set up with the standard CPQ framework.

Developed Fully Custom CPQ Portal
A light and high-performing CPQ portal was built with Salesforce Lightning Web Components. The interface was built to fit the client’s business perfectly so Salesforce CRM could be used seamlessly.
Vendor-Specific Product Dashboards
Every vendor got a separate dashboard so that sales reps had access to the products of each vendor, along with their prices. Records for products and price books were saved as custom objects so the data could grow in a structured way.
Automated Margin Calculations
Calculating the margin from the cost to the selling price, taking discounts into account, was done inside the LWC components with custom JavaScript. Real-time calculations were done even while multiple products were included in a single quote.
PDFs Generation for Quotes
We made a condition-based approval process using both Salesforce Flows and Apex. Quotes with margins below 7% went for approval inside the company, but those above that margin were automatically sent as PDFs by email to the customers. Using this workflow helped avoid manual mistakes and stick to the company’s pricing rules.
