Multi-Object Navigation
Users required a tool that delivered specific data, such as active listings, deal stages, agreements, or client records, without requiring manual querying of Salesforce or in-depth knowledge.
Simple Non-Technical Team Navigation
As the object relationships were not well understood by non-Salesforce users, the client sought a method to avoid the typical multi-step navigation process.
A Built-in Assistant
They needed the solution to reside within Salesforce, be visible on any screen, and not demand additional licenses or third-party equipment.

Property, deal, account, and agreement records were found across real estate data, as well as financial records. Finding one piece of information could result in several pages being opened.

Even basic things such as “What is the stage of this deal?” needed the assistance of technical human resources since most employees did not know how to write a query; they were not able to find the records.

Sales, leasing, and operations teams were unfamiliar with Salesforce object schemas, making it difficult to identify the correct field or relationship for the data they needed.

Natural-Language Interpretation Layer (AI-based)
A special chat interface has been designed with Lightning Web Components. Once a user entered a question, this text was forwarded to the ChatGPT API, which understood this request and created a clean JSON-based structure explaining what information was required to locate.
SOQL Dynamic Execution Controlled by Apex
The Apex backend would then convert the AI-generated instructions into safe and validated SOQL queries. It was done to make sure only the allowed objects and fields were used and yet provide users with open-ended querying possibilities.
AI-Based Records Summarization
Once Salesforce submitted the requested data, the assistant provided the results to ChatGPT. The model showed a brief explanation of what was important rather than showing the raw fields, including deal progress, date of agreement, tenant, property availability, and so on.
Utility Bar Integration
Salesforce added the assistant to its Utility Bar to be opened at any time. No additional licensing was required, and no alterations needed to be made to the current Console app of the client.

Our client is a reputable property management firm with a wide portfolio of residential and commercial properties in Portugal. To organize listings, dealings, and review agreements and maintain working client relationships, their teams depend greatly on Salesforce. As additional departments started to utilize Salesforce, the amount of data began to increase rapidly, and so did the desire to have a more accessible and less technical approach to data.
Our team no longer has difficulties locating information in Salesforce. Nothing takes us more than a few seconds, and our daily manual labor has become significantly easier thanks to the chat box.
Now property managers can scan listings and availability without switching their displayed screen, salesmen without direct deal progression can see immediate progression, and operations pages can access agreement details within seconds.
The lightweight LWC interface, dynamic Apex execution, and the ability of OpenAI to process languages created a tool that is easy to use and feels like a conversation with an intelligent assistant who is familiar not only with the business aspects but also with the Salesforce world. Consequently, the firm has experienced quicker decision-making, reduced internal bottlenecks, and increased confidence in Salesforce use by non-technical teams.
